A couple sends an enquiry on Tuesday evening. When should they hear back? The honest answer is as soon as you can manage, with a useful reply rather than a holding note. Here is what the research says, what it does not say, and a simple plan any venue can follow.

Short answer: Reply within the hour where you can, and always within 24 hours. In one UK survey, 82% of couples expected a reply within 48 hours. Your first reply should confirm the date, give the price for that date and offer a viewing.

What couples expect

The UK 2026 Wedding Industry Report from WeddingDates, the team behind the WedPro venue CRM, asked couples how quickly they expect a venue to respond. 82% expected a reply within 48 hours of first contact.

Many couples are not happy with what they get. In the Bridebook UK Wedding Report 2026, based on more than 7,000 couples, 81% said they felt frustrated with venue responses at the start of their planning (Bridebook UK Wedding Report).

Couples also contact fewer venues than you might think. The WeddingDates report found 69% of couples who enquired contacted 5 venues or fewer. A slow reply to 1 of 5 enquiries is a real risk.

What the wider research says about speed

There is no large published study on wedding venue reply times that we could check. The best known research on response speed covers businesses in general. Researchers writing in Harvard Business Review found that firms that tried to contact a web lead within an hour were nearly 7 times as likely to qualify it as firms that waited even an hour longer. They were more than 60 times as likely as firms that waited 24 hours or more. In the same study, 23% of 2,241 US companies never replied to a web enquiry at all (Harvard Business Review, March 2011).

That research is about US firms in many industries, not wedding venues. The lesson still carries over. The longer an enquiry waits, the more likely the couple has moved on.

A simple response plan for venues

1. Reply within the hour in office hours. Check enquiries at set times, for example 9am, 12pm and 4pm, rather than when you get a moment.

2. Make the first reply useful. Confirm whether the date is free. Give the price for that date, including VAT. Give the capacity for the ceremony and the meal. Offer 2 or 3 viewing slots or a booking link.

3. Use a name. In the WeddingDates report, 40% of couples said they would like to know who the coordinator is before they enquire. Put your coordinator's name and photo on your website and sign every reply personally.

4. Have a plan for evenings and weekends. Couples plan around work. An honest automatic email that sets out your price guide and viewing days is better than silence. An AI assistant on your website can go further and answer questions at any hour.

5. Offer a few ways to book a viewing. In the same report, 50% of couples preferred to book a showround by email, 26% through an online calendar and 16% by phone.

6. Follow up once. If a couple goes quiet after your first reply, send one short follow up a few days later with something useful, such as other free dates.

7. Measure it. Note when each enquiry arrives and when you reply. A month of data will show your real reply time and your busiest hours.

Where enquiries come from now

The way couples get in touch is changing. In the WeddingDates report, first contact by email fell from 77% to 57% compared with the previous year, while website contact forms rose from 9% to 23%. Your website enquiry route matters more than it did. Make sure your form asks for the date and guest numbers, and that every submission reaches someone quickly.

How an AI assistant helps

An AI assistant does not replace your coordinator. It covers the gap when nobody is at a desk. It answers the common questions from your own details, takes the couple's name, date, guest numbers and preferred viewing time, and emails it all to you. You reply in the morning with the hard work already done.

Frequently asked questions

How quickly should a wedding venue reply to an enquiry?

Aim for within the hour in office hours and always within 24 hours. In the WeddingDates UK 2026 Wedding Industry Report, 82% of couples expected a reply within 48 hours.

What should a venue's first reply include?

Whether the date is free, the price for that date including VAT, the capacity for the ceremony and meal, and 2 or 3 viewing slots or a booking link. Sign it with a real name.

Is an automatic reply good enough?

An automatic reply is better than silence, as long as it is useful. Include your price guide, capacity and viewing days, and say when a person will be in touch.

Does replying faster really make a difference?

Research published in Harvard Business Review found firms that tried to contact a web lead within an hour were nearly 7 times as likely to qualify it as firms that waited longer. That study covered US firms in general, not venues.
