Walkthrough
Inside a wedding venue AI assistant: sample conversations from Oakfield Barn.
What does an AI assistant on a venue website actually say to couples? Here are 5 short conversations with Willow, the assistant on our sample venue, covering prices, capacity, rain, accommodation, a discount request and a viewing.
Conversation 1
A late night price check.
A couple browses on a Thursday night, long after the venue team has gone home.
What to notice
Willow gives the real price for the season, with VAT, straight away.
She never confirms the date herself. The team checks the diary.
Hi, how much is a Saturday in August 2027?
Saturday hire from May to September 2027 is £4,950, including VAT. On your day the Barn, Hayloft Bar, courtyard, orchard, meadow and bridal suite are reserved for you alone. Which Saturday did you have in mind? Our team confirms exact dates.
The 14th. Is anything cheaper?
Yes. April and October Saturdays are £4,350 and November to March Saturdays are £3,450. Fridays and Sundays start from £3,950 and midweek from £2,850. I can pass Saturday 14 August 2027 to the team to check. Would you like me to?
Conversation 2
Capacity and the weather.
A couple asks about an outdoor ceremony for more guests than the space holds.
What to notice
Willow states the real limit of 120 and doesn't promise more.
She explains the wet weather plan exactly as the venue describes it.
Can we get married outside? We are thinking about 130 guests.
From May to September you can marry beneath the oak pergola in the orchard, which is licensed for up to 120 guests. The Barn also seats 120 for the ceremony. For 130 guests, the team would need to talk it through with you. Shall I pass that on?
Ok. And what if it rains?
The team makes the call with you at ten that morning, and the Barn is set separately, ready. So you have a plan either way.
Conversation 3
Where guests can stay.
A quick question before work about accommodation and access.
What to notice
Answers come from the venue's own details: 4 cottages, 14 guests, from £180 a night.
For detailed access needs, she points to the team.
Is there anywhere for guests to stay?
Yes. The Cart Shed Cottages across the yard are 4 self catering cottages that sleep 14 guests, from £180 a night. One is on the ground floor with a wet room, and one welcomes dogs.
Perfect, my gran uses a wheelchair.
The ground floor cottage with the wet room may suit her. The Hayloft Bar also has a lift. The team can talk through access in more detail when you visit.
Conversation 4
A question it shouldn't answer.
Not every question is one an assistant should settle.
What to notice
Willow doesn't invent a discount or refuse rudely.
She offers to pass the request to the people who can decide.
If we book tonight can you knock 20% off?
I can't agree prices or discounts. That's one for the team. I can pass your question on with your details so they can reply. Would that help?
Conversation 5
Booking a viewing.
The conversation that matters most. The couple is ready to visit.
What to notice
Willow offers the venue's real viewing days and open day.
The venue gets a complete lead with names, contact details, date and viewing preference.
We would love to come and see it.
Lovely. Private viewings run Tuesday to Saturday, and the next open day is Sunday 8 November. Which would you prefer?
A private viewing on a Saturday please.
Of course. Can I take your names, a phone number, an email and your wedding date if you have one?
Priya and Tom Shah, 07700 900527, priya@example.com. Probably September 2027.
Thank you, Priya and Tom. Your request for a Saturday viewing is with the team, who will confirm a time.
What the venue gets.
Every conversation that turns into an enquiry lands in the venue's inbox with the couple's names, contact details, date, guest numbers and what they asked. No dashboard to log into. The team confirms viewings and dates as normal.

Common questions.
Is Oakfield Barn a real venue?
No. Oakfield Barn is a fictional sample venue near Tarporley that Delegait created to demonstrate an AI enquiry assistant. Names, prices and dates are illustrative.
Are these real transcripts?
They are written examples based on the information given to Willow, the demo assistant. Live replies are worded fresh each time, so the demo may phrase things differently.
Can I try it myself?
Yes. Open the Oakfield Barn demo and ask Willow anything.
How much would this cost for my venue?
£395 setup, then £275 a month. No per conversation charges and no long term contract. Prices exclude VAT where applicable.
